Minutes of CAGA Meeting on 18th August 2021 at the DC

Minutes

Minutes of the last meeting were approved. 

 

 

Finance

 

 

Money in the bank stands at £12,990. Takings have been low this month.

There are no bills outstanding at current date.

Dealings with Natwest are still on going.

 

 

 

 

 

Shop

The shop has now re-opened.

 Please Note:  You will need to wear a face mask and entry will be limited to a maximum of five people at any one time.

Cash payment is acceptable. Alternatively, you can continue to place an order on line with Peter Greenway in the usual way by sending an email to:  pr.greenway@icloud.com and collect the items from the DC on the Sunday morning.

Pete B will be submitting an order for seeds at the end of August for the next growing season.  Otherwise stock levels are fine apart from weed killer which is currently out of stock.

The toilet facilities will unfortunately remain closed for the foreseeable future.

The weekly Meat Draw will recommence as of Sunday 29th August.  Initially this will be for 1 joint and will go back to 2 joints if there is a demand for it.  Please note the draw is open to all plot holders and Associate members only.

AGM

A date for this now needs to be fixed.  It is hoped that Wednesday 20th October will be suitable, with a starting time of 7.30pm is proposed. Sadly, the Village Centre are not taking room bookings at current date so Bryan will enquire to see if the Pavilion is free.

Diane will contact Mike to see about the paperwork and newsletter that will need to be produced prior to the meeting.  It is envisaged all paperwork will be sent out digitally via email to all members with a few copies available on the night.

The position of Secretary will available following the decision of the current secretary Diane Troye to step down at the AGM.  Any one wishing to take on this role is welcome to submit their interest at their earliest opportunity and before the AGM.

Both Diane Troye and David Shaw will also be stepping down from the Committee with effect from the AGM.

The D.C & it’s Future

A sub-committee has been formed, made up of Bryan, Mike and Pete G. 

A plumber has now been found but is unable to commence any work until after Christmas and has yet to submit a quote.  The sub-committee is trying to obtain an additional quote in the meantime.

Plots & Plot Letting

Plot 65F has been re-let with 18 people on the waiting list.

Thanks go to Tich for rotavating plots 65F & 66B.  Other vacant plots are 30B & 12B but these require strimming and rotavating before letting out.  Plot 12B has now been done.

A date will be arranged for the letting sub-committee to have a meeting in order to discuss the plot situation.  Bryan will arrange the date and advise the others.

Jeanette has undertaken a review of the plot numbering plaques and has found only a few posts are rotten, but a lot have faded numbers.  Jeanette will experiment with Hammerite to see if numbers can be painted over to revive them.

Working Party

This took place on Saturday 7th August and a big thank you goes out to all who attended, a great job was done by all.  A lot of rubbish was removed from vacant plots and the main drive hedges were cut back.

The thick clump of ivy to the entrance of the main drive does not make exiting the Allotment site easy.  Bryan will enquire to see who owns it and report back.

Comment made that there was a timing issue for the event and the absence of a distinct organiser on the day.  Future working parties need to address these issues.

It is now the intention to hire a 9yrd skip to have the non-combustible rubbish taken away. The Letting sub-committee will decide when this is best done.

Plot holders are reminded that it their responsibility to maintain and cut the paths that surround their plots and those with plots that back onto the boundary fence a 1-meter clear path be maintained.

Main Gates

REMINDER: All plot holders are advised to close the gates upon leaving if they are the last person on the site irrespective if there is a car / bike there or not and whatever the time of day.  All plot holders must have the gate keys with them when attending their allotment. A gate key can be purchased from the shop costing £4.  Please contact Pete Greenway via email:  pr.greenway@icloud.com  to arrange purchase and collection.

Allotment Communal Compost Heap Plot 30F

IMPORTANT:

Effective from Sunday 20th December 2020 Plot 30F, the fire mound and compost heap is CLOSED to all Plot Holders.

Wooden debris form the working party event has been placed on 30F with the intention of having a bonfire in due course.

New plot holders have been added to the mailing list.

Mike has now sent out a newsletter to all plot holders advising them of the forthcoming Chinnor Flower Show.  It is hoped there will be a good turn out of allotment holders eager to show off their produce.

 

 

No Dog Signs

5 signs have been ordered by Rod, measuring 600mm x 450mm at a cost of £9 each approx. They are expected to be delivered by the end of August following a slight delay.

Empty Gas Bottles

There are 3 empty gas bottles which can be returned to Helpful Hiring’s in Thame. Pete G will endeavour to return these as soon as possible.  The Calor bottles will be retained for use on future BBQ events.

Old Cherry Tree Stump

Bryan has been approached by a local wood turner who is happy to remove the trunk and re use it.  Approval given
