Minutes of CAGA Meeting on 17th March 2021 via Zoom

Accounts

Money in the bank stands at £12,945

The allotment tractor  has been serviced by Stephen Folley (organised via Brian Collins) @£215. 

£615.00 has gone to paying for stock. Next month the rent to the Council is due and an invoice of approx £900.00 for a shop order will fall due.

The mowers and rotavator still need servicing which will be carried out by Brian Collins.

The allotment accounts have now been looked at and have been approved. The format of the accounts needs to be adjusted by the purchase of 2 analysis books, one for cash and one for cheques. Bryan will purchase the books and will liaise with Peter to write the accounts up to date.

PLOT HOLDER INFORMATION

The shop remains operational during lockdown. Plot holders who wish to purchase anything from the shop can do so by placing an online order and agreeing a time to collect the items via Pete G.  Please contact Pete Greenway via email:  pr.greenway@icloud.com to arrange purchase and collection.

Sales have been steady throughout. Currently awaiting a delivery of chicken manure, fertilizers, compost, grow bags and 7mm butterfly netting.

Seed potatos: there is low stock of Cara and Pink Fir Apple and good stock levels of Estima and Pentland Javlin. Mike will update website to show this.

The committee would like to thank “Tich” aka Brian Collins organising the tractor servicing and repairing the “gap” on the main gate.

INFORMATION ONLY

The Sunday shop remains closed at this time due to Covid-19 rules. A review will take place in April to see if shop can re-open.

 

Plots & Plot Letting

There are currently 21 people on the plot waiting list, with one plot currently vacant.

Following a review of Plot 8 by Bryan & Rod it has been decided not to let it until next year due to work needed.

 

Working Party

There are plants growing between the 2 garages near the DC which need to be cleared.  Pete G hopes to clear this with the help of others.

Bryan and Rod will decide the need for a working party at the next meeting, once they have undertaken an inspection of all plots.

 

Main Gates

REMINDER: All plot holders are advised to close the gates upon leaving if they are the last person on the site irrespective if there is a car / bike there or not and whatever the time of day.  All plot holders must have the gate keys with them when attending their allotment. Chinnor Pump

Due to Covid restrictions the Chinnor Pump is currently not in publication. This should hopefully resume once restrictions are lifted.

Allotment Communal Compost Heap Plot 30F

IMPORTANT:

Effective from Sunday 20th December 2020 Plot 30F, the fire mound and compost heap is CLOSED to all Plot Holders.

Plot Holders must no longer dump anything on Plot 30F.  All plot holders must make their own arrangements for the removal of all weeds, plant vegetation, wood and rubbish by creating their own compost heap if they so wish and taking all rubbish to the local tip.  Anyone seen dumping items on Plot 30F will be held responsible and will be told to remove the rubbish accordingly.

Following discussions with Alan Brawn and Maureen Dyroff it has been agreed that they will clear the compost heap by end of April. The compost will be shared among their other charitable concerns.

Likewise any plot holders wishing to utilize the compost can help themselves.

Boundary Issue

Rubble has been thrown over the fence at the Duck Square section. This was dumped by the Council contractors; the Council is aware and will be removing it. The Council has yet to advise who is responsible for the broken boundary fence in this area as well.

Mike is now updating the website and is organising the newsletter release. Rod is happy to act as administrator for the CAGA Facebook page.

 

Plot Rules Review

The Committee is reviewing the use of plastic covering on the allotments by setting a time limit on its use as it is becoming clear some plot holders are leaving the covering down all year rather than cultivating their plot. A time limiting period of Oct through to March is to be considered. A decision will be made by Oct this year and plot holders will be advised.

The committee agrees to changing the rules to reflect 75% of all individual plots must be cultivated (previously 50%). The definition of cultivation will be determined by the Plot Letting Committee who will discuss any problems directly with the individual plot holder concerned. Time will be given to remedy the situation. Bryan will draft a letter to all plot holders regarding this matter and will pass on to Mike for distribution.

The Committee is looking in to the matter of supplying all plot holders with a CAGA Membership card which can be used by plot holders when obtaining discounts etc. Bryan will obtain a sample card for the Committee to consider when meetings reconvene at the DC.

Chinnor Flower Show 2021

Mike will put details of the show on the CAGA website in due course.  It is hoped many plot holders will participate in the event.

 

Any other matters

Pete B raised a complaint from the plot holder of 20F&B (Marina Khazove) regarding the car park area near the Scout Hut. That during wet winter months the area is very soft and cars can get stuck. The Committee will review this in due course.

 

No Dog Sign

Pete B raised the issue of the “No Dogs” sign not being seen when the gates are open. Pete B will consider a suitable size and location for extra signage and report back to the committee accordingly.

Replacement Garage Doors

The garage doors adjacent to the DC are very rotten and need replacing. Peter G has kindly offered some replacement doors that he has at home. He will transport them to the Allotments to assess how they will fit. Brian Collier has kindly offered to work on them to make them fit.
