Minutes of meeting held on 20 April 2022 at 7:00pm

1.       Apologies

2.       Minutes of AGM and previous meeting

Resolved to accept minutes of the March meeting

 

 

3.       Finance Report

SR noting balances in the accounts. Growell has been paid and compost has been paid for. Contractors have been paid for work.

Electrician’s quote excluded wiring the heater so this will be an additional cost - waiting to hear final cost and how he would like to be paid.

RL has cash from new plotholders.

 

 

 

 

 

4.       AOB Financial Matters

Discussion about sheets for shop sales. Noting that initials should be placed next to columns to see who has sold what.

 

5.       Shop Report

Chicken pellets have been ordered. Compost has been bought. There is a shortage of grow bags but don’t sell many so propose to order around 20 more.

Slug pellets – can no longer sell as illegal to sell and use. Government website says these pellets should not be used outdoors. Peter B made enquiries as to where they could be disposed of. SODC advises if we wanted to dispose of them (70 packs) we would be treated as a trade organisation. Can store it for as long as we like – so no urgency to this issue.

MI will go through the pricelist on the website.

Content for newsletter – agreeing to promote Michael Gee’s nursery.

 

GP noting that there has been another delivery of woodchips – suggest mentioning he has donated the chips and they are available for collection.

 

Notice of toilet reopening- will post date once it has been finished but aiming for 1 May. PG/TC to confirm when finished.

8.       Update on DC and its future/ refurb of toilet and kitchen

Kitchen has not yet been completed – done largely bar tiles that need cutting. Should be finished in the next week. Any leftover boxes (complete) can be returned.

BR has discussed payment with builder.

After tiling need to consider what to do with the ceiling. It doesn’t look good – but not an essential issue to address. Discussing options but easiest option is just to paint. Can revisit at next meeting.

TC suggesting door just needs new weatherboard. BR has a spare.

TC and BR to sort out kitchen – bring shop stock back into shop area. Will make some old stock free/ donation to clear it out.

BR wants the kitchen/bathroom to be kept tidy. BR proposing that the person on shop duty tidies (but not expecting a deep clean – the expectation is that members will clean up after themselves). Agreed. Will purchase toilet brush/ rolls

9.       Next work party

BR noting there was a lot of debris around when did plot walk. Will look to set a date for skip hire and a work party date after plot walk. If the work party is before next meeting – then notify MI and he will put in the newsletter.

 

10.   Report from plot letting committee

RL noting that the current waiting list is at 18. There are 13 plots that are being prepared to be let.

Inspection on 11 April and identified 11 plots to whom letters have been sent giving notice to take action. Proposing to do another inspection in around 2 weeks (proposing Tuesday 3 May - TBC) to see whether action has been taken and if nothing has been done they will be given notice to quit.

Some plots have been given up and planning to reconfigure these to better sizes etc.

11.   Chinnor pump update, items for insertion

RL preparing a Chinnor pump update and if anyone wants anything included to let RL know

 

12.   Open Gardens

Discussed with Jackie Gunn – will open on Sunday for 2 hours and JG at liberty to open gates but to please close when done.

 

13.   Equipment in garage

BBQ - Not clear who owns it and/or where it came from. Either try to get rid of it or put on skip.

Some members keep equipment in the garage.

TC will look at what equipment is in there and report back to the committee next time. Need to clarify payment of space hire etc.

14.   Allotment BBQ

BR not clear as to whether we can cook and whether it should go ahead. Following the last meeting SR circulated info about the regulations for the BBQ. MI advising that his understanding was that provided this wasn’t a regular occurrence no specific requirements re cooking.

 

Proposing 23/30 July. Not proposing to allow under 16s. Date TBC dependent on who can help with cooking.

Agree to designate tasks from MI lists at the next meeting.

15.   AOB

Keys – BR noting there are too many loose keys. Proposing to sort out keys.

GP noting that there is now a key on the keyrings hanging behind the till that opens the second door to the shop.

SR noting that twice she has come down to collect money and the alarm has not been set. Just a reminder to always set the alarm.

 

Garage wall – with the council -take off agenda

 

Bonfire date – RL will discuss with Alan

 

Two seats have been bought for the communal orchard –  will follow up about this

Judging for prizegiving at BBQ – MI querying whether we will do it this year? RL will go through renewal forms to get a feel for numbers of those who opted in to do this and this can go in the next newsletter if we go ahead. To discuss at the next meeting.
