Minutes of CAGA Meeting on 16th June 2021 at the DC

Minutes of the last meeting were approved. 

 

 

Equipment Loan Disclaimer

An enquiry has been made by Pete G to see what the additional cost would be to permit all members to use the allotment equipment, as expected the additional cost increases the annual premium substantially. The decision has been taken therefore to withdraw all the allotment equipment from non-committee members use.

 

New Committee Member

It has been unanimously agreed by the committee to co-opt Brian Collins aka Tich (plot 38F & 39F). The Committee welcome him onboard and look forward to working with him. Tich is responsible for all tractor rotavating work and can be hired by any plot holder to carry out this type of job particularly when taking on a new plot that needs mechanical intervention.

 

Finance

 

 

Money in the bank stands at £13,017

There are no bills outstanding at current date.

Sandy is now in receipt of banking paperwork and should be an additional signatory in due course.

 

Shop

Shop sales continue to be steady. The shop has now re-opened wef 23rd May and will open every Sunday between 10am and 12pm.

You will need to wear a face mask and entry will be limited to a maximum of five people at any one time.

Cash payment is acceptable. Alternatively, you can continue to place an order on line with Peter Greenway in the usual way by sending an email to:  pr.greenway@icloud.com and collect the items from the DC on the Sunday morning.

Pete B has been in contact our main supplier of goods (Codnor) and has been advised that all outstanding items should be delivered next week ie, bird netting.

Bryan to provide details of another supplier for shop goods by next meeting.

It is agreed that Sandy will source a new pair of scissors for the shop.

The toilet facilities will unfortunately, remain closed for the foreseeable future.

The D.C & it’s Future

A sub-committee has been formed, made up of Bryan, Mike and Pete G.  They have been in touch with various contractors and are now waiting to hear back from them with regard to costs etc. It is envisaged the toilet area will be reduced down to one brand new cubicle to include hand washing facilities with an additional door fitted leading into the kitchen area so it can be separated from the toilet area.

A further update is expected at the next meeting.

Plots & Plot Letting

It had been a busy month for Rod and the plot letting sub-committee.

Six termination notices have been sent out following a plot inspection with 4 plots having been handed back, 2 have failed to reply so accordingly will be contacted to advise them their tenancy had ended forthwith.

There are currently 5 plots that need attention to get them back into a workable condition prior to letting.  Plot 26F is now ready to let.

There are currently 17 people on the plot waiting list.

A further full Plot Inspection Survey was carried out by the Plot Letting Sub-Committee on the 13th June, with some 18 plots found to be in poor condition. It is expected further warning & termination notices will be issued as a result.

Rod to provide a list of new plot holders to Mike so he can update the mailing list accordingly.

Working Party

It is proposed a working party be called following the recent inspection which will focus on the sorting out of the very poor plots and rear plot path clearance work.  A date will be confirmed at next meeting.

Plot holders are reminded that it their responsibility to maintain and cut the paths that surround their plots and those with plots that back onto the boundary fence a 1-meter clear path be maintained.

Main Gates

REMINDER: All plot holders are advised to close the gates upon leaving if they are the last person on the site irrespective if there is a car / bike there or not and whatever the time of day.  All plot holders must have the gate keys with them when attending their allotment. A gate key can be purchased from the shop costing £4.  Please contact Pete Greenway via email:  pr.greenway@icloud.com  to arrange purchase and collection.

Allotment Communal Compost Heap Plot 30F

IMPORTANT:

Effective from Sunday 20th December 2020 Plot 30F, the fire mound and compost heap is CLOSED to all Plot Holders.

With regard to the Compost Heap all plot holders are welcome to help themselves to the compost generated before it is dismantled and spread across plot 30F.

Plot 30F will be strimmed and new barrier tape will be erected.

Mike will be looking to carry out a housekeeping exercise in the coming months to tidy up the presentation of the CAGA website.

He is now able to access the Committee email account and will updating this shortly with a view to adding Graeme and Sandy and removing Stephen. He will speak to Frans if there is a problem

Rod will continue to provide Mike with email addresses for all new plot holders so the mailing list can be up dated.

With regard to the allotment newsletter Mike reports that of 128 people who receive it only 83 people actually open it and only 11 people go on to read it.  All plot holders are asked to please read the newsletter as a means of being kept up to date with all matters relating to the allotment, ignorance of such matters is no defence.

The Committee now has a “WhatsApp” group to better aid quick communication when necessary.

No Dog Signs

5 signs have been ordered by Rod, measuring 600mm x 450mm at a cost of £9 each approx. They are expected to be delivered in appro 6 weeks’ time.

Rules on Greenhouses

It is agreed that this needs to be made clear in the Rules. Currently greenhouses must not be larger than 6 x 6ft, polycarbonate NOT glass, have no permanent foundations and located in the middle area of the plot as opposed to on the boundary line or close to the main lane. Mike will contact Liz Folley at CPC to get their clarification on this and will then update the rules accordingly.
